Net 15. Pay by card: [pay-now link].” Subject sketch: “INV-2140 — June consulting ($1,900) due June 30.” Keep rate × hours (or package name) visible so reviewers do not ask what the total covers.
2. Deposit / kickoff retainer
Invoice title: “Project kickoff deposit — Website rebuild.” Lines: “Kickoff deposit (40% of $8,000 project) — $3,200,” “Remaining balance invoiced at launch — $4,800 (not due yet).” Notes: “Deposit reserves start date July 7. Work begins after this invoice is paid. Remaining balance on a separate invoice.” Subject sketch: “INV-2201 — Kickoff deposit ($3,200) due on receipt.” Do not bury the remaining balance in the same “due now” total.
3. Simple fixed project
Invoice title: “Brand kit delivery — River Co.” Lines: “Logo suite + brand guidelines — $2,400,” “Source file handoff — included.” Notes: “Deliverables as accepted July 2. Due July 16. Pay by card: [pay-now link].” Subject sketch: “INV-2288 — Brand kit ($2,400) due July 16.” One clear deliverable set, one due date, one pay-now path—ideal when scope is already done.
4. Milestone / phase billing
Invoice title: “Milestone 2 — Design system handoff.” Lines: “UI kit + component library (accepted 6/12) — $3,200,” “Design QA pass — $400.” Notes: “Covers SOW §3.2. Next phase starts after this invoice is paid.” Subject sketch: “INV-3302 — Milestone 2 ($3,600) due June 20.” Use a separate invoice per phase. 5. Optional: short service visit / day rate
Invoice title: “On-site install — July 8.” Lines: “Install + configuration (1 day) — $950,” “Travel (agreed flat) — $120.” Notes: “Work completed July 8. Due on receipt. Pay by card: [pay-now link].” Subject sketch: “INV-2410 — July 8 visit ($1,070) due on receipt.” Keep visit date and flat travel separate from labor so field invoices stay easy to approve.
